Privacy Policy

AgentHQ respects your privacy. This Privacy Policy explains what personal information we collect, how we use it, who we share it with, and your rights regarding your information under Canadian privacy law.

1. Who We Are

AgentHQ is operated by Matrix Holdings Inc, a corporation registered in Alberta, Canada, based at 101, 2511 3rd Ave NW, Calgary, Alberta, Canada T2N 0L4.

This Privacy Policy is governed primarily by Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and Alberta's Personal Information Protection Act (PIPA).

2. Scope — Two Types of Data

This Privacy Policy covers two distinct categories of personal information:

(a) Customer Data — information we collect directly from you, the real estate professional using AgentHQ to power your business.

(b) Lead Data — information about your prospects, contacts, or clients that you upload to or that flows through AgentHQ on your behalf.

Important distinction: For Customer Data, AgentHQ is a data controller. For Lead Data, AgentHQ is a data processor — you, the Customer, are the data controller and remain responsible for lawfully obtaining Leads' personal information and securing any consents required by law before routing their data through AgentHQ.

3. What We Collect

3.1. Customer Data

• Account information: name, email address, phone number, business name, role, and any information you provide during registration or use of the Services.
• Payment information: processed directly by Stripe. We do not store credit card numbers. We receive limited payment metadata from Stripe (e.g., payment success, last 4 digits, billing country).
• Usage data: IP address, browser type, device information, pages visited, actions taken, and timestamps.
• Communications: support emails, feedback, and messages you send to us.

3.2. Lead Data

• Contact information: name, email address, phone number, and other fields you include in Lead records.
• Message content: the SMS messages, emails, and voice call scripts you configure or that AgentHQ generates on your behalf.
• Delivery metadata: send status, delivery confirmation, open/click events, and call outcomes (e.g., answered, voicemail, failed).
• Voice recordings and transcripts: when you use Voice Agent, recordings and AI-generated transcripts of calls with Leads may be stored.

4. How We Use Information

4.1. Customer Data we use to:

• Provide, operate, and improve the Services
• Process payments and manage subscriptions
• Authenticate you and secure your Account
• Provide customer support
• Send transactional emails (purchase confirmations, product updates)
• Send optional marketing communications (you may opt out at any time)
• Detect and prevent fraud or abuse
• Comply with legal obligations

4.2. Lead Data we use to:

• Deliver the Services you configure — sending messages, running automations, executing workflows you set up
• Generate call transcripts and summaries when you use Voice Agent

We do not market to your Leads. We do not use Lead Data to train general AI models. We do not sell Lead Data. Lead Data is processed solely to deliver the Services you have configured.

5. Sub-Processors

AgentHQ uses trusted third-party providers to operate the Services. Each sub-processor is contractually bound to handle personal information responsibly:

6. International Data Transfers

Our sub-processors may store and process personal information in the United States, the European Union, or other jurisdictions. By using AgentHQ, you acknowledge and consent to the transfer of your information across international borders. We take contractual and technical measures to ensure your information is protected consistent with applicable Canadian privacy law.

7. How We Share Information

We do not sell personal information. We share information only as follows:

• With sub-processors listed above, solely to deliver the Services
• With law enforcement or regulators when required by law, subpoena, or valid legal process
• In connection with a business transaction — if AgentHQ is involved in a merger, acquisition, or sale of assets, personal information may be transferred as part of that transaction (you will be notified)
• With your consent for any other purpose

8. Data Retention

• Customer Data: retained for the duration of your Account plus up to 7 years following Account closure for tax, accounting, and legal compliance purposes.
• Lead Data: retained for as long as you actively use the Services. Upon Account closure, Lead Data is deleted within 90 days unless longer retention is required by law.
• Payment records: retained per Canadian tax law (minimum 6 years).
• Backups: our backup systems may retain data for up to 30 days after deletion from primary systems.

You may request deletion of your Customer Data at any time by emailing fg@me3babe.com (subject to legal retention obligations).

9. Your Rights Under PIPEDA

You have the right to:

• Access — request a copy of the personal information we hold about you.
• Correct — request correction of inaccurate or incomplete information.
• Withdraw consent — for any processing that relies on consent (though doing so may limit your ability to use the Services).
• Request deletion — subject to legal retention requirements.
• Lodge a complaint — with the Office of the Privacy Commissioner of Canada (priv.gc.ca) or the Office of the Information and Privacy Commissioner of Alberta (oipc.ab.ca).

10. Security

We implement industry-standard safeguards to protect your personal information, including:

• Encryption in transit (TLS/HTTPS) for all data moving between you and our services
• Encryption at rest for stored data via Supabase
• Access controls restricting who can view personal information on our systems
• Payment security — handled by Stripe (PCI-DSS Level 1 compliant); we never see your full card number
• Logging and monitoring for suspicious activity

No system is completely secure. You are responsible for keeping your account credentials confidential and notifying us promptly at fg@me3babe.com if you suspect unauthorized access.

11. Cookies and Analytics

AgentHQ uses cookies for:

• Authentication — to keep you signed in
• Essential functionality — to remember preferences and session state
• Analytics — to understand how users interact with the Services, through tools like Vercel Analytics

We do not use advertising cookies and do not sell your browsing data.

You can configure your browser to refuse cookies, but some features of the Services may not function correctly without them.

12. Children's Privacy

AgentHQ is intended for use by real estate professionals aged 18 and over. We do not knowingly collect personal information from minors. If you believe we have inadvertently collected data from a minor, contact fg@me3babe.com and we will delete it promptly.

13. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Material changes will be communicated via email to the address associated with your Account or via prominent notice on the Services. The "Effective Date" at the top of this policy reflects the most recent update. Continued use of the Services after changes become effective constitutes acceptance of the revised policy.
